Payroll Tax Specialist (Remote)

In this role, the Payroll Tax Specialist will be accountable to execute the company's payroll tax processes and procedures, implement changes in payroll tax regulations, identify, troubleshoot, and resolve tax compliance issues and provide reporting for year-end processing and W2 production.
Major Responsibilities Administer payroll tax compliance requirements across all companies (updating account numbers, state unemployment insurance rates, responding to agency information requests such as questionnaires, business ownership and license information).
Work directly with tax agencies to open or close tax accounts as needed, including completing registration or termination forms while mindful to avoid failure to file notices and penalties.
Make corrections to Medline's state/federal tax profile set ups with tax service (ex.
ADP), preventing incorrect reporting.
Maintain tax service dashboard and resolve tax or garnishment discrepancies.
Address escalated garnishment orders by working with tax service and adjusting garnishment data as needed update Tax interface on a quarterly basis.
Review and submit tax notices to tax service.
Identify and intervene on high priority tax notices (failure to file and underpayments), resolving directly with appropriate agency.
Process quarterly tax returns or late originals as needed.
Provide tax-related on-going reporting and ad hoc requests from business leaders or finance team, including:
Reconcile payroll tax liabilities to General Ledger and provide month end reporting.
Collaborate with accounting team to research and resolve variances.
Responsible for quarter-end processing, researching and resolving variances between PeopleSoft/Workday and ADP Smart connect to ensure accurate reporting.
Process Iowa Tax Credit Balance and remit payroll taxes for bi-weekly, semi-monthly and ad-hoc payroll runs Process lock in letters received from IRS.
Execute year-end processing including reconciling and verifying all box totals, earnings and deductions, to ensure accurate W2 reporting.
Transmit periodic test files to ensure data is updating correctly.
Process imputed income files from expense team, third- party sick pay, wage and hypothetical tax adjustment for expatriate employees.
Review employee data to identify employees with an incorrect live or work state.
Make necessary tax adjustments to provide an accurate W2 and correct state tax returns.
Maintain tax service dashboard and resolve tax discrepancies by working with tax service and making adjustments as needed.
Manage the business relationship with KPMG in regards to expatriates and hypothetical tax adjustments.
Provide input and advice on tax updates, payroll tax and employment tax, and ensure accurate migration of transferred employees during M&A integrations.
#LI-REMOTE Minimum Job Requirements Bachelor's degree and at least 2 years of experience processing multi-state payroll tax in PeopleSoft or Workday OR high school diploma or equivalent and at least 4 years of experience processing multi-state payroll Experience analyzing and reporting data in order to identify issues, trends, or exceptions.
Experience processing all relevant details of payroll tax, understanding and prioritizing their importance and drawing clear and concise conclusions.
Experience with Workday and ADP Smart connect.
Proficiency Microsoft Word (for example; inserting headers, page breaks, page numbers and tables and/or adjusting table.
Strong proficiency in Microsoft Excel (for example; using SUM function, VLOOKUPS, pivot tables).
