A Brief OverviewPerforms a variety of duties in support of assigned department including coordinating clinic schedules, accurately taking and entering of messages into EPIC.
Responsible to ensure requests for records are completed, receives and mails correspondence.
Schedules appointments accurately through obtaining appropriate demographics and soliciting information necessary to schedule appropriately.
Ensures a positive interaction in each patient and family encounter.
Essential Functions Act as a focus of communication and resource person for callers/guests/staff requiring information or direction.
oMaintains the daily provider appointment templates at the direction and approval of the Administrative Supervisor.
oAnswers phone calls in an acceptable amount of time, accurately entering staff message into EPIC.
oPulls and processes all fax transmittals as directed and provides outreach fax support as needed.
oSchedule appointments accurately, registering patients with complete and accurate demographic information according to procedure.
oMakes appointments from calls.
oReschedules and cancels appointments and communicating as needed with patients/families and departments/clinics.
oSchedules interpretation services as needed for appointments.
oDemonstrates positive customer service when greeting patients, care providers and others.
oProviders patient/family service instructions prior to appointment as directed by service department.
oProviders appointment, directions and parking instructions as needed.
oEnsures physician orders are linked to appropriate appointment within system.
oAssist with clinic reminder calls.
oEnsures recalls are inputted for future patient appointments.
oTracks and communicates scheduling concerns to the appropriate individuals.
oCompletes appointment re-scheduling requests according to policy.
oRequests and distributes patient medical records.
oResponsible for all outreach reservations including flight, car rentals and hotel.
oEnsure crash cart checklist is completed daily.
oResponsible for inputting fetal conference data.
oAssist nurses with Synagis orders and issues.
oAssists with IT and clinic equipment issues.
oAsist nurses with pre-clinic preparation work.
oResponsible for nurse meeting minutes and reservations.
oCompletes miscellaneous reports and letters as needed.
oSupports patient care quality initiatives as directed.
oSet up Webex meetings for cardiology and other departments within the organization.
oWorks with Administrative staff with communicating schedule changes to third party answering service.
oAssist nurses with pacer check scheduling.
oCompletes outreach expense report submissions in Oracle.
oAssists in the orientation and training of new employees as requested.
oCoordinates and manages office supply needs.
oProvides teleheatlh technical support to families in collaboration with department RNs.
oCompletes visit coordination as requested from clinical team; communicating lab/imaging directions to families (arrival time, way finding, visit preparation).
Regular attendance at work is an essential function of the job Perform physical requirements as described in the Physical Requirements section Education Qualifications High School Diploma or GED equivalent Required Experience Qualifications Minimum 1 year of secretarial experience Required Skills and Abilities Skill in typing and usage of Microsoft Word, Excel and PowerPoint.
Ability to pay close attention to detail.
Ability to work with minimal supervision.
